Terms and Conditions for Members and Users at Nordic Strong ApS

  1. General

These terms are legally binding and apply to all individuals and companies with registered access to Nordic Strong ApS, whether as a “Member” (holders of memberships) or a “User” (holders of bundles). Nordic Strong ApS, hereinafter referred to as “the Company,” is a duly registered entity at c/o Select Partners, located at Amaliegade 14, 2nd floor, 1256 Copenhagen K, Denmark, with CVR number 41830875.

Registration with the Company grants access to one or more of its locations, including Nordic Strong Studio, Nordic Revival, and Nordic Sauna Club (collectively referred to as “Studios”), located at Fortkaj 5, 2150 Nordhavn. 

1.1. Terms Applicability

Clause 3, 5, 8, and 9 of these terms specifically pertain to guests at STAY Nordhavn. Clause 10 of these terms and conditions specifically applies to Members of the Sauna Club. In the event of any legal doubts or inconsistencies, the Sauna Club terms shall be interpreted in conjunction with the general terms and conditions outlined in this document to ensure comprehensive understanding and adherence.

1.2. Ownership

Any reference within these terms to “Studio”, “Studios” and “Sauna” is inherently interchangeable with references to the Company.

1.3. Opening Hours

 The Studios operating hours can be found on the website.  

2. Membership

2.1. Terms for setting up a membership

When establishing a membership or a bundle the Member or User must provide the information required under each specific membership or bundles. It is the Member’s or User’s responsibility to ensure that the Company has the Member’s correct contact information at all times. 

2.2. Online registration

Online registration is open 24/7 through the website. It is recommended to verify receipt of a registration or payment confirmation to ensure uninterrupted access to Studio activities and benefits.
The Company disclaims any liability for issues related to the availability, outages, glitches, or technical difficulties on the website or app, including those affecting registration and cancellation processes. The Company uses secure measures to protect Members' personal and payment information during the registration and transaction processes.

Please note that fees for certain services or sessions may be non-refundable; refer to the refund policy for specific details.

2.3. Access types

Memberships are strictly personal and may only be used by the registered Member unless explicitly stated otherwise. Bundles are transferable.

Each membership and bundle provides access to equipment and services as detailed on the  website

2.3.1. Membership

The membership is active and valid once registration and payment have been received. The membership remains active and will automatically renew every month unless the Member decides to cancel it. The termination period is defined in clause 6 of these Terms and Conditions.

2.3.2. Bundles  

Bundles are valid once registration and payment have been received. 

The duration period of the bundles may vary. The duration period is specified in the receipt and confirmation email from the purchase. If the confirmation email is not to be found, please write to contact@nordicstrong.com to receive a new email regarding the duration period.  

2.3.3. Students

Student members must provide valid identification confirming full-time enrollment and proof of being under 23 years old to studio@nordicstrong.com during their initial visit to NS Studio. If their enrollment status changes, they must promptly notify the Studio. Students are responsible for maintaining accurate study information with the Company. The Company reserves the right to verify student status each academic semester.

2.4. Legal incapacity and age requirements

If the Member or User is under 18 years of age or legally incapacitated, the Member or User must bring their guardian to the Studio to set up their Membership or purchase their bundle. When registering in the Studio, both parties must bring valid photo IDs. The guardian is liable for the minor’s or the legally incapacitated’s compliance with these Membership Terms and shall be responsible for any claim the Company may have against the Member or User according to these Terms and Conditions. 

2.4.1 Minimum age requirement

The minimum age for exercising in any of the Studios, regardless of the consent of a guardian, is 15 years.

2.5. Another payer than the Member or User

When setting up a membership or bundle for which someone other than the Member or User is paying, the Other Payer is responsible for complying with the payment conditions in these Terms and Conditions. The Member or User is responsible for complying with these Terms and Conditions.. 

2.6. Membership on hold/bero

Members with a “Classes” or “Nordic Warrior” membership may pause their membership up to five times per year, with each pause lasting a minimum of one month and a maximum of six months. Members with other types of memberships are entitled to one pause per year, lasting up to three months.

3. Use of Studio and Studio Access

Members and Users are responsible for familiarizing themselves with and complying with the applicable House Rules.

Any violation of these rules constitutes a breach of these Terms and Conditions and may, at the discretion of NS Studio, result in consequences including expulsion, membership cancellation or termination, fines, and/or temporary or permanent exclusion from future membership with the Company.

3.2. Access to classes and facilities

The Member and User shall register at the reception to gain access to the Studios and the Studios’ facilities. The registration is personal and may not be done by others. Registration at the reception shall always be made before using the Studios’ facilities. The Member is responsible for keeping their membership secure so that others do not use it, e.g. for unauthorised access or purchases.

3.2.1. Guests at STAY Apartments Nordhavn  

Guests staying at STAY Apartments Nordhavn (“STAY Guests”) are granted access to NS Studio’s Fitness Space for the duration of their stay at STAY Apartments in Nordhavn. Access is limited exclusively to the Fitness Space and is available only to currently accommodated STAY Guests. STAY Guests must check in at the reception desk showing their STAY key card. 

STAY Guests may only use the Fitness Space during NS Studio’s standard operating hours, as listed on the NS Studio website

3.3. Personal training

Members and Users can supplement their Studio access by purchasing personal training services as an add-on. Details are available at the studio email studio@nordicstrong.com 

3.4. Events 

The Studios can be booked for private events. The specific terms and conditions governing such events will be detailed and communicated through the agreement negotiated with the Company. The Company retains the authority to temporarily close its facilities to all individuals, including Members, except for those expressly invited to the event. The Company shall not be held responsible for providing compensation or refunds for any paid memberships, whether for closed days or reduced operating hours during events. The Company shall notify Members in advance when the Studio is scheduled to be closed for events.

3.5. Private agreements & Corporate agreements

Firms, companies, and other private entities may enter into individual agreements with the Company for the use of studio and sauna facilities. The specific terms and conditions governing such agreements will be detailed in the finalized contract between the parties. The Company reserves the right, at its sole discretion, to accept or decline any private agreement or collaborative proposal from external entities.

3.6. Classes 

3.6.1. The Instructor's discretion to deny entry to a class

The Company retains the authority to refuse entry to a class for a Member or User once the class has commenced, and the door has been closed as per the scheduled start time. The door is considered closed at the exact time the class commences, and Members and Users are not permitted to enter once this threshold has been reached. The Company strongly advises all Members and Users to arrive at least 15 minutes prior to the scheduled class start time to ensure punctuality.

It is imperative to adhere to the following:

  • For Users holding a bundle arriving late to a class is equivalent to an improper cancellation of a registration, as detailed in clause 3.7. If the User arrives at NS Studio before the class begins but after the scheduled start time, it will also be considered an improper cancellation of the registration, cf. clause 3.7. In such cases, a class credit will be deducted. 

  • For Members with a Membership subscription, arriving late to a class is equivalent to an improper cancellation of a class registration, as detailed in clause 3.8. If a Member arrives at NS Studio before the class begins but after the scheduled start time, it will also be considered an improper cancellation of the registration. In such cases, no additional fees apply, but access to the class will be denied.

3.6.2. Waitlist for Classes
Members and Users may join a waitlist for fully booked classes. Spots are allocated based on the order of waitlist sign-ups.

Twelve (12) hours before the class, all individuals on the waitlist will receive an email notification if a spot becomes available. Spots will then be allocated on a first-come, first-served basis.

It is imperative to adhere to the following:

  • Signing up for the waitlist does not guarantee a spot in the class.

  • If a Member or User secures a spot through the waitlist, the rules for registration and deregistration of classes at NS Studio, as outlined in clause 3.7, will apply.

3.7. Registration for and deregistration from Classes

Certain memberships and bundles grant Members and Users access to the Studios’ classes (hereinafter referred to as “classes”). Registration and cancellation for classes must be completed either through the website or at the reception desk.

Failure to register or properly cancel a class will result in the following penalties:

  • Users with bundles: One credit will be deducted for improper cancellation.

  • Members with memberships: A fee of 50 DKK will be charged.

The following cancellation policy applies:
Cancellations must be completed no later than 12 hours before the scheduled class start time via the website.

3.8 Check in for Fitness Space 

Fitness Space Members are required to check in at reception upon arrival. The Company reserves the right to conduct spot checks within the Fitness Space to ensure membership compliance.

3.9. Registration for and deregistration from Events

Certain membership categories grant Members access to the Company’s events. Registration and cancellation for event bookings must be completed through the website or at the reception desk.

Failure to cancel an event booking properly will result in a fee of 50 DKK. This fee is charged due to the limited capacity of events, which allows only a specific number of participants.

The following cancellation policy applies:
Cancellations for event reservations must be completed no later than 12 hours prior to the scheduled start time via the website.

3.10. Health and personal injury 

All activities on the Company’s premises are undertaken at the Member’s or User’s own risk. Members and Users are personally responsible for ensuring they are in suitable health to participate in activities at the Company’s premises and have received the necessary instructions to perform these activities safely and correctly. For Members or Users under 18 years of age or legally incapacitated, it is the responsibility of their guardian to ensure they meet these requirements. The Company accepts no liability for personal injuries resulting from non-compliance with these requirements, accidents, or the actions or omissions of other visitors. The general principles of Danish tort law shall apply.

3.11. Valuables and property damages

Members and Users are strongly encouraged to use the lockers provided by the Company to secure their personal belongings during activities at the Studios. However, the Company advises against bringing valuable items to the Studios or Sauna or storing them in the lockers, as these do not offer absolute protection against theft. The Company expressly disclaims any responsibility or liability for the loss, theft, or damage of personal property occurring on the premises of the Studios. Lockers are available in the hallway in the basement, the changing rooms, and the sauna.

3.12. Furniture and Equipment care

Members and Users are required to handle all furniture and fitness equipment with care and promptly report any damage to the staff. The Company reserves the right to seek compensation from Members or Users for damage caused, with the amount determined by the extent of the damage. Members and Users are strictly prohibited from touching the lights in the hallway and studio areas without staff approval, as they are highly sensitive. Additionally, towels and poles must not be placed or hung on the lights in the Studio room.

3.13. Lost and Found
Items left behind and discovered by our staff, regardless of their nature, will be placed in the lost and found box. The Company will keep these items for one month before disposing of them.

3.14. Commercial activities 

Commercial activities, which include, but are not limited to, exercise guidance, personal training, nutritional counselling for third parties, or any other commercial ventures, may only be conducted at the Studios with the explicit prior agreement and authorization from the Company

3.15. Recordings and pictures

Members and Users acknowledge that they may be photographed or recorded while present at Studios. The images and videos may be shared on the Company’s social media platforms, website, and promotional materials. The Company utilizes the content for promotional purposes, including but not limited to Instagram posts, stories, Facebook posts, publications, and website updates, in accordance with GDPR Article 6(1)(f). By participating, Members and Users consent to the Company’s right to publish, copyright, and utilize images or content depicting them within Studio premises or associated with the Company’s trademark tag across its media platforms. No compensation will be provided for such use. All photography and videography within the Studios must comply with the House Rules. Any violation constitutes a breach of these Terms and may result in the consequences outlined in clauses 6.3 or 6.4.

Members and Users who wish to opt out of being photographed or recorded, or request the removal of specific content, may contact the Company. The Company will make reasonable efforts to honor such requests promptly. However, the Company cannot guarantee the removal of content shared by other Members or Users on their personal social media accounts.

3.16. Gift certificates

Gift certificates can be redeemed through the website. After successful payment, the gift certificate will be emailed to the address provided at the time of purchase. Gift certificates are valid until the expiration date indicated on them and must be redeemed within this period. Any remaining balance after the expiration date will be forfeited, and the certificate will become invalid. Purchasers may cancel a gift certificate within 14 days of payment for a full refund, provided it has not been used. The 14-day withdrawal period begins upon receipt of the gift certificate. The Company does not replace expired, lost, or stolen gift certificates and is not liable for unauthorized use. Gift certificates are non-redeemable for cash, and any unused balance will not be credited or refunded.

3.17. Memberships with specified commitment periods

Members who acquire a membership with a specified commitment period, including those obtained through challenges or promotions, are required to fulfill all payment obligations for the entire commitment duration as per the original agreement. Members cannot terminate or withdraw from the commitment period before its scheduled conclusion.

If additional memberships are awarded through promotions or challenges, these will commence only after the current commitment period has ended. Promotional memberships cannot be canceled mid-term; however, they may be set to expire at the end of the term without renewal.

Modifications to promotional memberships are permitted but may require rate adjustments. Members wishing to upgrade during the commitment period must pay the difference between the promotional and standard rates. For downgrades, the original promotional rate remains in effect until the contract concludes, after which a new membership type may be chosen at standard pricing. 3.18. Towels and shower facilities

Members and Users with a Membership or bundle may use towels and shower facilities exclusively on the Company’s premises. Towels must be returned to the designated laundry areas immediately after use, and shower amenities are strictly for on-site use. Unauthorized removal of towels or amenities constitutes a serious breach of these Terms and may result in expulsion, as outlined in paragraph 6.4. Similar products are available for purchase through the website or at the reception desk.

The towel policy is as follows:

  • Nordic Warrior and Classes memberships: 2 towels per visit (1 large, 1 small).

  • Student, 4 Monthly, Fitness, and Nordic Revival memberships: 1 towel per visit (choice of large or small).

  • Bundles: 1 towel per visit, except for Saunagus bundles, which include 2 towels (1 large, 1 small).

  • SaunaClub members and third-party users: Towels may be rented at the reception desk.

4. Payment Responsibilities

Members with rolling memberships are required to make monthly payments for membership fees in accordance with the Company’s current pricing policies. Payments are processed automatically through the Company's designated payment service. Guardians or third-party payers responsible for the membership also assume responsibility for all associated charges. No-show or late cancellation fees are applied daily as incurred.

Bundle holders make a one-time payment at the time of purchase with no recurring charges. However, they remain subject to applicable no-show or late cancellation fees.

Upon initial enrollment, registration fees—including the first membership period and any setup fees—must be paid. Monthly membership payments are subsequently processed on the designated date each month, and Members are responsible for ensuring timely payment of all dues and charges. Billing records are available in the “Payments” section for up to six months.

4.1 Payment Service for Automatic Payments
When a membership is purchased, it renews after 30 days. Members or other designated payers are solely responsible for ensuring payments are completed according to this schedule.

4.2 Reminder and Suspension Policy
If any payment—including fees for no-shows or late cancellations—remains unpaid, NS Studio will issue a reminder via electronic communication, subject to a reminder fee as listed on the official price page. Should the payment not be settled within ten days, NS Studio will send a second reminder with an additional fee. If payment is still outstanding ten days after the second reminder, a final reminder with an increased reminder fee will be issued.

If the balance remains unpaid following the final reminder, NS Studio may suspend access to services and facilities for Members and users, including holders bundles, until all outstanding fees are settled. During suspension, access to all NS Studio facilities and services is restricted, and Members or users are prohibited from using or modifying their membership or bundles.

NS Studio or its designated partners may recover all outstanding amounts, including reminder fees and late charges, and report delinquent accounts to RKI/Experian, per RKI's prevailing terms. Associated fees are determined by NS Studio or its external partners.

In cases where NS Studio owes a receivable to the Member or User, the balance will typically be credited toward future dues or fees. For any reimbursement requests following termination, Members or Users should contact NS Studio’s member service via the contact form available on the NS Studio website.


5. Modifications of Membership Terms 

5.1. Modifications to these Membership Terms

The Company reserves the right to modify these terms and conditions at any time, with such changes becoming legally binding on all Members and Users. Modifications will be communicated at least 30 days before their effective date, either via NS Studio's digital channels or by email directly to the Member. If a Member does not wish to accept the modified terms, they may terminate their membership in accordance with the existing termination period. Details on the termination procedure are available on the website.

6. Termination of Membership

6.1. Member's termination

Members may terminate their membership with one month's notice, which includes the current binding period plus an additional binding period. The binding period is 30 days, starting from the date the membership was initiated.

Termination requests must be submitted via email to studio@nordicstrong.com

Upon submitting a termination request, the Member will receive a confirmation from the Company. In the event of uncertainty regarding the termination status, it is the responsibility of the Member or Other Payer to provide proof that the membership has been terminated.

6.2. Member’s Termination from Memberships with a specified commitment period

The Member cannot terminate or withdraw from a membership with a specified commitment period before its scheduled conclusion, unless an exception has been formally documented in writing by the Company. All special offer memberships include a minimum commitment period of three months. During this period, the Member cannot terminate the membership. However, the Member may request termination during the commitment period, in which case the membership will conclude at the end of the commitment period. If the Member does not terminate their membership before the commitment period ends, the membership will automatically continue under the same terms as other memberships of the same category or name.

6.3. The Company’s termination of memberships

The Company reserves the unilateral right to terminate a Member’s membership at its discretion, without the requirement to provide an explanation. In such cases, any unused prepaid quotas will be refunded to the Member. Membership may also be terminated by NS Studio for reasons including, but not limited to, late or non-payment of outstanding amounts, misuse of membership privileges, or violation of the House Rules.

6.4. Expulsion 

In the event of a significant violation of NS Studio's regulations, such as lending the membership to someone other than the member or if the member significantly breaches the house rules, NS Studio reserves the right to terminate the member's access to NS Studio without issuing a refund for any deposits. The same applies to Users of the Studio.

6.4.1. Alcohol and other subjects

The consumption or possession of tobacco, e-cigarettes, or alcohol on the Studios’ premises is strictly prohibited for Members, Users, and third parties. Any Member, User, or third party found in violation of this policy, or under the influence of these substances, will be subject to disciplinary measures, which may include expulsion in accordance with clause 6.4.


7. Right of cancellation 

7.1. The right to cancel a Membership and Bundle

When a membership or bundle is purchased, the Member possesses a 14-day right of cancellation, commencing from the of purchase. If the expiration of this period falls on a public holiday, Christmas Eve, or New Year's Eve, the Member may postpone the exercise of their right of withdrawal until the subsequent working day.

8. Sauna

8.1. Opening Hours
Access to the sauna is available with prior approval from the Company or by using an access card. The sauna operates during the following hours, with variations based on weather conditions and operational needs:

  • Monday to Thursday: 6:00 am to 10:00 am and 4:00 pm to 8:30 pm

  • Friday: 6:00 am to 10:00 am and 4:00 pm to 8:30 pm

  • Saturday and Sunday: 8:00 am to 5:30 pm

From May 1st to October 1st, the sauna is not continuously operational during regular opening hours due to climate-related considerations.

To ensure availability, Members and Users must request sauna activation before arrival if they plan to use the sauna outside the specified hours. The activation process may take up to one hour for the sauna to reach the desired temperature.

8.2. Sauna Rules

Access and Hygiene:

  • The sauna is exclusively for Members, and guests require prior approval.

  • All members must shower before entering the sauna.

  • Members should remove clothing and jewellery, wear swimwear inside, and sit on a towel for comfort and to protect the wooden benches.

Hydration and Footwear:

  • Members should ensure they are adequately hydrated before entering the sauna.

  • No shoes are allowed in the sauna area; please leave them on the designated shoe shelf.

Sauna Use:

  • Do not splash or pour water onto the sauna stove without permission.

  • Oils or fragrances are not allowed without prior consent.

  • Keep conversations quiet and respectful.

  • No physical activities, sports, or inappropriate behaviour.

Sauna Etiquette:

  • Gently close doors and gates to maintain a peaceful atmosphere.

  • Only bring drinking water into the sauna; no alcohol, beer, juice, milk, or food. It is not allowed to bring glass into the sauna. 

  • Children under 18 can enter with prior approval, but those under 15 are not allowed.

  • Adhere to bathing rules set by Copenhagen Municipality and the City and Port, including designated areas, swimwear requirements, and restrictions for children under 18 during winter months.

  • When participating in a SaunaGus session, it is essential to follow the instructions provided by the gusmaster at all times.

10. Sauna Club

10.1. General

These terms and conditions apply to individuals who are members of the Sauna Club at NS Studio (hereinafter referred to as "the Member"). While these terms are part of the overall Terms and Conditions for Members at Nordic Strong, they specify requirements unique to Sauna Club members. Sauna Club members should also review the comprehensive Terms and Conditions for Members at Nordic Strong. In case of any ambiguity or missing information in the Sauna Club terms, the Membership Terms and Conditions for Members at Nordic Strong shall prevail.

10.2. Membership

To obtain Sauna Club membership, applicants must pay an enrollment fee and a monthly subscription fee, as specified on the website. Membership remains active and renews automatically on a monthly basis unless terminated by the Member. 

The procedures for membership termination are outlined in paragraph 6.1.

10.3. Access
Members of the Sauna Club have exclusive access to the sauna area, which includes the facilities located in the sauna building across from the reception. Sauna Club membership does not grant access to the Studio’s other facilities, including the fitness space, classes, or indoor changing rooms.

To enter the sauna area, Members will receive a personalized access card with a chip, which must be scanned at the sauna door. This card is strictly personal and must not be shared with others. Any sharing or misuse of the card, if discovered by the Company, will result in immediate expulsion from both the Sauna Club and NS Studio.

In the event of a lost card, the Member must notify reception immediately to have the card blocked. A replacement card may be purchased for 75 DKK. Each Sauna Club membership is limited to one card per Member.

10.4. Guests
Individuals who do not hold a Sauna Club membership, lack an active Studio membership with sauna access, or do not possess a valid SaunaGus session pass are strictly prohibited from entering the sauna area. Any violation of this rule will result in immediate expulsion from both the Sauna Club and NS Studio.

Guests who do not meet the above criteria may gain access to the sauna by paying an entrance fee at the reception. Members may only bring non-paying guests with prior written consent from the Company.

10.5. Use of Sauna
Sauna Club members must familiarize themselves with the Sauna Rules before entering the sauna area, as these rules apply to all sauna users. Additionally, the Studios’ House Rules are applicable to the sauna area.

10.6. Opening Hours, Events, and SaunaGus Sessions
Sauna Club members may access the sauna area during the Company’s regular opening hours, which are listed on the Company’s website. Please note that these hours may vary on public holidays.

Sauna access is not permitted during SaunaGus sessions unless the Member holds a SaunaGus session pass or pays an additional fee. SaunaGus participants have priority access to the sauna area during these sessions. The schedule for SaunaGus sessions is available on the Company’s website.

The Company reserves the right to temporarily close the sauna area to all Members and users during events, except for those expressly invited. The Company will provide advance notice of such closures. No compensation or refunds will be provided for paid memberships affected by closures or reduced operating hours.

When participating in a SaunaGus session, Members must follow all instructions provided by the gusmaster. Members are responsible for their actions before and after the session, including maintaining personal hygiene and making necessary preparations. It is the Member’s responsibility to stay informed about the rules and guidelines for SaunaGus sessions and to adhere to them throughout the experience.

10.7. Temperature
The sauna operates during the following hours, with variations based on weather conditions and operational needs:

  • Monday to Thursday: 6:00 am to 10:00 am and 4:00 pm to 8:30 pm

  • Friday: 6:00 am to 10:00 am and 4:00 pm to 8:30 pm

  • Saturday and Sunday: 8:00 am to 5:30 pm

10.8. Towel Rental and Shower Facilities
Sauna Club members are responsible for bringing their own towels. Alternatively, towels can be rented for 25 DKK at the Company’s reception. Rented towels are for use exclusively on the Company’s premises and must be returned promptly after use. Used towels should be placed in designated laundry baskets located in the sauna area or at reception. Unauthorized removal of towels from the premises is a serious violation of the Company’s Terms and Conditions and may result in expulsion, as outlined in paragraph 6.4.

Members may use complimentary shower facilities provided by the Company, which include shampoo, conditioner, body wash, handwash, body balm, and hand balm. These items are the property of the Company and are for on-site use only. Unauthorized removal of these items from the premises is a serious violation of the Company’s Terms and Conditions and may result in expulsion, as outlined in paragraph 6.4. Members wishing to purchase similar products for personal use may do so via the Company’s website or at the reception.
